Operations Coordinator

Empire Mini Homes
Empire Mini Homes designs and manufactures ready-to-move-in prefabricated homes, frequently used as Accessory Dwelling Units (ADUs). Our mission is to make homeownership more attainable while helping customers navigate everything from site preparation to financing.
Empire Wood Products
Empire Wood Products salvages and repurposes reclaimed wood from some of New York's most historic structures, including the original Tappan Zee Bridge and the American Locomotive Company (ALCO). We serve homeowners, architects, designers, and builders seeking authentic reclaimed materials with documented provenance.
Mill Hill
Mill Hill is a 26-acre mixed-use property currently being planned for future residential, commercial, and public uses. The project is in active planning and presents exciting opportunities for community development.
About the Role
We're looking for an organized, curious, and highly dependable Operations Coordinator to help keep our businesses running smoothly.
This is an ideal position for someone early in their career who enjoys variety, learns quickly, embraces technology, and takes pride in staying organized. Every day is different—you might be responding to customer inquiries, updating spreadsheets, preparing quotes, coordinating vendors, organizing an event, or helping move a development project forward.
You'll work closely with the owners and a small, committed team.

What You'll Do
Customer & Sales Support
- Respond to customer inquiries by phone, email, and website
- Help qualify new leads and schedule appointments
- Prepare quotes and proposals using established templates
- Maintain customer information and follow-up activities within our CRM
- Help customers navigate the home buying process by coordinating information and resources
Business Operations
- Keep calendars, meetings, and schedules organized
- Coordinate vendors, deliveries, contractors, and service providers
- Prepare invoices, purchase orders, and routine business documents
- Maintain organized digital files and records
- Track sales activity, customer inquiries, inventory, and basic operational metrics
- Help improve internal procedures and documentation as the business grows
Project Coordination
- Assist with planning activities for the Mill Hill development
- Schedule meetings with consultants, engineers, attorneys, and municipal officials
- Track deadlines and action items
- Help prepare presentation materials and project documentation
Events & Marketing Support
- Help organize open houses, customer events, and promotional activities
- Coordinate event logistics and vendor communication
- Track attendees and follow up with prospective customers
- Assist with social media, website updates, photography, and other marketing projects when needed
Property & Showroom
- Help ensure our showroom, model homes, and grounds present professionally
- Coordinate routine maintenance and repairs
- Monitor signage, displays, inventory, and customer presentation areas
What We're Looking For
We're less concerned about finding someone who has already done this exact job than someone with the right attitude, strong organizational skills, and a desire to learn.
Preferred Qualifications
- Bachelor's degree or equivalent work experience
- 1–4 years of experience in administration, operations, sales support, customer service, project coordination, or office management
- Excellent written and verbal communication skills
- Highly organized with exceptional attention to detail
- Comfortable managing multiple priorities in a fast-paced environment
- Professional, friendly, and customer-focused
Technology Skills
Successful candidates should be comfortable learning new software and using technology every day. Experience with the following is strongly preferred:
- Microsoft Excel (sorting, filtering, formulas, tables, basic reporting)
- Microsoft Word and Outlook
- Google Workspace
- CRM software (HubSpot, Salesforce, Zoho, or similar)
- Cloud file management (OneDrive, Google Drive, Dropbox)
- Calendar and meeting management
Bonus experience includes:
- Canva
- ChatGPT or AI productivity tools
- Basic website editing (WordPress or similar)
- Social media management (Facebook, Instagram, YouTube)
- QuickBooks or similar accounting software

This position is based full-time at our Pine Plains, New York office. Occasional local travel to project sites, suppliers, or customer meetings may be required. A valid driver's license is required.
